Rules & Regulations

Exhibits are subject to the guidelines and regulations written below. All matters and questions not covered by the below are subject to the decision of World Market Center, Las Vegas (WMCLV). The below may be amended at any time by International Market Centers (IMC) and all amendments or additions that may be implemented shall be equally binding on all parties. IMC will notify the Exhibitor of any and all material changes to these General Rules and Regulations. Adherence to these guidelines and regulations is essential to having an orderly, fair and safe Market. Please read each section carefully.

Age Requirement: As Las Vegas Market is a trade only event, children under the age of 12 will not be allowed on the floor. No strollers allowed. Nursing mothers entering the exhibit area must carry the nursing child in a harness or backpack. Mother’s Lounge is located in Building C, 1138.

Balloons & Inflatables: Balloons and inflatables of any type are not permitted in World Market Center Las Vegas.

Booth Floor Plans: To submit your booth plans in advance, please contact Fern by: CLICK HERE to be taken to Fern’s (login required) exhibitor portal or by email at lasvegas@fernexpo.com.

Booth Height Regulations: The Cubic Content Rule will apply to all booths. This will allow the exhibitor to build or place display materials throughout their booth space to the maximum allowable height of 8’. In addition, these booth height restrictions must meet all safety parameters as mandated by World Market Center Las Vegas and Fern.

Please Note - The height restriction in all inline booths is 8’ high and 16’ high for island booths. Should any items exceed 8’, a request to Market Operations will need to be submitted no later than 60 days (Friday, November 20, 2020) prior to Move-In. Please contact Operations at opsservices@imcenters.com. All island booths have a height restriction of 16’ high. Any expenses incurred due to the removal of height restricted fixtures/product will be the Exhibitor’s responsibility.

Building Specifications: Electrical Panels - all areas in front of electrical panels must be kept clear for 36” per OSHA-NEC regulations. Unrestricted access is required for fire extinguishers, strobe lights, emergency exit signs and fire hose cabinets on columns or walls. Space on and around these areas must be kept clear for 36”.

Canopies & Ceilings: If you wish to feature canopies or ceilings within your exhibit space, plans must be submitted to IMC no later than 60 days (Friday, November 20, 2020) prior to Move-In for review and approval. Please contact IMC Operations at opsservices@imcenters.com.

Column Clearance: Space on and around columns is not available for exhibit space. This is off limits unless it’s included in the Leasing contract and is subject to Fire & Safety regulation guide-lines. This policy will be strictly enforced, and exhibitors who violate this rule will be required to modify their exhibits on-site at their own expense. The Facility requires a minimum of 36 inches (3’) on all columns for electrical access and/or fire hose cabinets. If you have a column in your booth with an FHC (fire hose cabinet), the side where the FHC faces must have a clear path from the aisle, through your booth to the FHC. Electrical Panels - all areas in front of electrical panels must be kept clear for 36” per OSHA-NEC regulations. Unrestricted access is required for fire extinguishers, strobe lights, emergency exit signs and fire hose cabinets on columns or walls. Space on and around these areas must be kept clear for 36”. For columns, clearances apply to those with fire extinguishers, fire alarm strobes, and/or electrical cabinets.

Coat & Bag: Coat & Bag Check is located in Lot A located outside near the Transportation Terminal, adjacent to Building A. Complimentary service is available on Market days.

Customer Services: Services/Floor Managers are available on-site to provide answers any questions for our exhibitors, as well as to assist with overseeing with the Move-In and Move-Out of Market. Information Desks are stationed at registration in the Expo Center and in the lobbies of Buildings A, B & C during Market show hours. Damage to Building Structures: Exhibitors will be held responsible for any damage or modification to any surface, including but not limited to: walls, columns, ceilings, and floors.

Drayage & Material Handling: Please contact Market Logistics for questions or concerns regarding drayage and/ or material handling. An America’s Mart Logistics Representative will be on-site to assist you with your outbound shipping.

Early Teardown | Dismantle of Booth: The early dismantle of any exhibit or packing of product samples on the show floor prior to scheduled Move-Out time is strictly prohibited. Please reference Targeted Move-In and Move-Out information schedules in the Booth Package and General Contractor Information. IMC and the Las Vegas Market Logistics Department will maintain control of the process and have priority at the loading areas at all times. As a courtesy to the other exhibitors and for the respect & safety of our buyers/exhibitors who are conducting business on the show floor, it is vital that exhibitors do not begin tearing down or dismantling their booth prior to the official closing of the event. Exhibitor Appointed Contractors (EAC): Exhibitors may employ the service of independent contractors to install and dismantle their display, provided the Exhibitor and the contractors comply with the requirements listed in the Exhibitor Service Manual.

The Exhibitor is responsible for ensuring that the EAC submits all required forms by the deadline date.

First Aid: First Aid services are available during the entire Market with stations in each building. In the event of an Emergency, please call (702) 599-3091. Please DO NOT call 911 directly as this could delay our response time.

Food & Beverage Preparation: The use of heating devices (open or closed), flammable gas or compressed air for purposes of food/beverage preparation is not allowed.

Food Sampling:  In accordance with food service guidelines and protocols issued by the Centers for Disease Control (CDC), the National Restaurant Association’s SERV Safe COVID-19 program, the Food and Drug Administration, state and local governmental regulatory agencies, IMC has set forth the following policies for food sampling during LV Summer Market.

  • All food samples must be individually prepackaged in advance of being on show site. This includes any samples & applies to all show room(s) and booth(s) on the trade show floor at The Expo or B2.

  • Hand washing stations are still required at all booths or showrooms, despite the samples being required to be prepackaged.

  • Ample consumption areas should be included where possible, and marked for easy recognition. This will distinguish areas where guests who are sampling the product can consume the samples. Any extended lingering or exposure to other people while guests are chewing/eating the samples must be minimized.

  • Any information cards handed out that detail sample information must be disposable cards, designed for one time use and immediately thrown away after a guest touches the card.

  • Exhibitors must designate one person to hand out samples and/or information cards to guests who is following PPE guidelines that include wearing a face mask, gloves (changing them often) and regularly washing hands that includes changing gloves to maintain cleanliness. The use of plastic face shields for this person is highly encouraged.

  • If utensils are required to consume the sample, utensils must be individually packaged and disposed of immediately after usage.

  • Hand sanitizer for guests must to be available in the same location of sampling, touchless ones are preferable. Sanitizers should have a minimum 60% alcohol content for effectiveness

General Service Contractor: Fern is the official service contractor providing rental services for booth displays, standard and custom furniture, labor and accessories. Fern is pleased to partner with Edlen for electrical and Plumbing needs. Fern will staff an exhibitor service center during Move-In, Move-Out and over the Market dates to facilitate your on-site needs. Click Here (login required) to order products and services.

Halogen Lighting: All electrical services are provided through Edlen. Edlen has partnered with Fern and is the exclusive provider of electrical services and requires all halogen lights to have a safety lens or shield over the lamp/bulb. For the Fern services and order forms, CLICK HERE.

Hand Carry: A hand carry item is an item such as a pillow, a lamp, small accessory, that can be carried by one person, by hand, without the use of a handcart or dolly. The use of hand-pushed dollies, handcarts, flatbeds and forklifts is not allowed, and access to loading docks/freight doors is not available for personal unloading. WMCLV personnel will have sole responsibility in determining the loading and unloading procedures at all facility docks. Please remember that material handling is included in your booth package as a part of your lease and/or contract.

Hold Harmless Policy: All Show Attendees and Exhibitors hereby agree to release and hold harmless CHA Show Management, its employees, vendors, agents, contractors and owners from any and all alleged an/ or actual liability, claims, actions, lawsuits, damages, or losses, of any kind (“Claim”) which arise out of or result from attendance and at and participation in the event, including but not limited to property damage and personal injuries, whether or not foreseeable.

Home Consignment: All Home Consignment companies will be subject to the same show rules, regulations and policies as EAC’s (Exhibitor Appointed Contractors). All Home Consignment organizations must comply with all show rules, regulations and policies as stated an published by World Market Center Las Vegas and Fern as described and published in the Exhibitor Service Manual. All Home Consignment companies and their subcontractors will be required to submit Liability Insurance and follow the same guidelines as other EAC’s. Please refer to the EAC Rules & Regulations. You may also donate your items to Opportunity Village, World Market Center Las Vegas’ local charity partner that will be on-site throughout the duration of Market, as well as during Move-In & Move-Out. Stickers to label your items for donation will be available. Please fill out the tag and place on all items that you wish to donate and IMC Ops will make sure that they are picked up after the end of Market. Live Animals: Live animals are prohibited on the property with the exception of those in compliance with the American with Disabilities Act.

Merchandise Release Form: Any hand carry (small) product being removed from the exhibit hall as a result of a sale or donation, other than product/exhibit goods not covered by a Bill of Lading (BOL), will require completion of a Merchandise Release Form. This form will be collected by Security at the point of exit. Merchandise Release Forms may be obtained from Services Managers and will be given only to exhibitors wearing a valid exhibitor badge. This form is to be filled out completely by the Exhibitor before giving to the Purchaser. Products (large items, couches, chairs, tables, etc.) that require a Bill of Lading (BOL) and a Merchandise Release Form, are not permitted to leave the show floor until after the show has closed for the day, Sunday - Wednesday after 4pm. This policy will be strictly enforced!

Music: Exhibitors may use sound systems in their booths so long as the noise level does not disrupt business activities of neighboring exhibitors. Speakers and other sound devices should be positioned so as to direct sound into the exhibitor’s own exhibit space and not towards the aisle. Sound and noise should not exceed 85 decibels. WMCLV reserves all rights to restrict the use of sound systems if for any reason sound levels become objectionable or otherwise detract from normal business activities.

“No Freight” Aisles: By order of the Las Vegas Fire Department, there are certain aisles throughout the show floor which have been designated as “No Freight” Aisles. These aisles must be kept clear of crates and exhibit materials during Move-In and Move-Out. The purpose of the “No Freight” Aisles is to expedite freight movement, the removal of empty crates, and to provide emergency access at various points on the floor.

Open Flame: No open flame devices or pyrotechnic devices shall be used in World Market Center Las Vegas.

Photos & Videos: The use of Still Photography (cameras), Cell Phone cameras and Video Processing is prohibited on the exhibit floor, meetings rooms and foyer lobby at all times. This applies to both attendees and exhibitors. Violators will be required by Security to discard any film used on the floor, including deleting any photos on a cell phone or digital camera. Las Vegas Market’s official Photographer contracted by WMCLV is exempt from this rule. Management reserves all rights to prohibit access to the event to anyone caught violating this rule.

Product Donations: If you wish to donate product to Opportunity Village or Habitat for Humanity (World Market Center Las Vegas’ preferred charitable organizations), we will provide resources at show site for you. For accountability purposes, security and identification, all donated items will have to be tagged by the Exhibitor. Management reserves all rights to prohibit access to the event to anyone caught violating this rule.

Rug Racks: All rug racks will require manufacturer shop drawings and specifications that must be provided to World Market Center Las Vegas no later than 12.31.20. Each rug rack will require inspection by a construction inspection agency provided by WMCLV.

Security: World Market Center Las Vegas provides general perimeter security during Move-In, show days and Move-Out. However, dedicated security for an individual booth and its contents is the responsibility of each Exhibitor. Marksmen Security can be reached at (702) 599-3091.

Signs: IMC will provide each booth with a Booth ID Floor Sticker featuring the Exhibiting Company’s Name and Booth Number. Signage within the exhibitor’s booth must adhere to the 8’ height limitation. Hanging signs are not permitted.

Smoking: WMCLV and The Expo have designated areas where smoking is allowed. CLICK HERE for map of designated areas.

Storage: No storage of any kind is allowed behind booths or near electrical service. Materials for hand-outs must be limited to one day supply and stored neatly within the booth. Violators will be notified and if not removed by show opening, Freight Services will remove and store at EXHIBITOR’S EXPENSE.

Sub-Leasing | Sharing Booth Space: The sharing of booth space is not permitted unless approved in advance by WMCLV. Sub-contracted companies or companies “sharing” a booth do not appear on aisle/directional signs, receive a Booth ID Floor Sticker, nor will they appear in the Las Vegas Market App or on-line Market Planner.

Suit-casing | Soliciting | Advertising | Canvassing: All exhibits shall be confined to the exact space as specified in the leasing contract. The distribution of publications, advertising matter and promotional giveaways must be within said exhibit space. Soliciting or demonstrating by an exhibitor must be confined to the exhibitor’s own booth. No exhibits, displays or advertising material of any kind will be allowed in the lobbies or hallways unless approved by WMCLV. Failure to comply with this regulation can or will result in the dismissal from the event. Please report any violations you may observe to any WMCLV staff immediately.

Unsportsmanlike Conduct: Any tampering with, or engagement of corporate espionage in another exhibitor’s booth space or booth property is an automatic violation of WMCLV rules and regulations and will not be tolerated. Failure to comply will result in possible exclusion from future events.

Water Feature Exhibits: All water feature exhibits will be required to provide the following:
- Exact number of water features being displayed
- Total empty weight of each water fixture
- Quantity of water holding capacity (in gallons) of each water feature
*All water feature exhibits will be required to order water fill and drain service through Edlen by 12.31.20.

Weapons: No firearms or weapons of any kind are permitted on any International Market Centers property.

Wood Flooring: All wood flooring must meet Class 1 flame spread. A certificate of proof must accompany the product. If you are providing and installing this type of flooring, you must contact IMC in advance.

Oilcloth, tar paper, sisal paper, nylon, orlon and certain other plastic materials cannot be made flame retardant and their use is prohibited. Exhibitors should dispose of any waste products they generate during the exhibition. Painting and spraying toxic or flammable substances are not permitted. This includes the use of liquids, compressed air, toxic chemicals and open flames. Crates, cardboard boxes and display cases are not to be stored within the booth or behind the booth during the show.
